Confirmations A provisional booking for the date of your choice will be held for a maximum of 1 week. After 1 week, La Compagnie Nea'ls Yard requires confirmation of the booking by deposit. Note: all non-confirmed bookings will automatically be released unless a deposit is paid. Bookings are considered confirmed on the receipt of a signed contract and/or a non-transferable/non-refundable 50% deposit of the minimum spend and/or venue hire or pre-ordered food and beverages - whichever is greater. Event Fees The event fees referenced below are based on your event contract, and the values therein. Payment The following deposit arrangements apply at all times: - A 50% deposit of the minimum spend, menu cost or proposed F&B package - whichever is greater total is payable on confirmation (this is non-refundable or transferable) - The total balance of the total event fee is payable 30 days prior to your event. - The final account must be settled on the evening of the event if it hasn’t been done so before. All monies paid as deposit or balance are non-refundable and cannot be transferred in the event of the booking cancelling or being transferred to a different date unless agreed in writing by both parties. Payments can be made by bank transfer, cash, credit card, debit card. Cancellations La Compagnie des Vins Surnaturels requires a minimum of 14 working days notice for any cancellations. All cancellations must be confirmed in writing by the client, to La Compagnie Nea'ls Yard. Should you have to cancel your booking a charge will be made according to the following: ● If the event is cancelled by the client at any stage, the confirmation deposit will be withheld ● Bookings cancelled within 14 days of the event will forfeit their deposit and final balance payment. ● Cancellation will be effective from the date of receipt of the written notification. Any costs incurred for a particular event, that otherwise would not have been incurred, will be charged in the event of cancellation – i.e. equipment hire etc. Cancellations by the La Compagnie Nea'ls Yard We reserve the right to cancel any booking if: ● Any part of the venue is closed or otherwise unavailable due to events outside our control ● You or we become insolvent or in the case of an individual, become subject to a bankruptcy petition. ● The booking might damage the reputation of the venue. ● Deposits and payments are not received by agreed dates. ● The terms & conditions have not been signed and returned to us. ● If cancelled by La Compagnie des Vins Surnaturels other than for non-payment reasons then any advance payments will be returned, but the venue would not have any other liability. VAT All prices quoted include the standard rate of Value Added Tax as issued by the government. VAT rates are correct at time of printing and may be adjusted by La Compagnie des Vins Surnaturels to reflect any changes as issued by the government. Damage The client is responsible to La Compagnie Nea'ls Yard for the cost of repairing any damages to any fixtures, furniture, buildings, outside areas or employees of the La Compagnie des Vins Surnaturels caused by themselves, their guests, agents, employees (this list is not restricted to those persons mentioned). It is advised that the La Compagnie Nea'ls Yard will take whatever action it considers necessary to protect its property, contents, employees and/or agents if it considers that they are threatened in any way by the action of the client, its guests, entertainers, suppliers or contractors. It is emphasised that La Compagnie Nea'ls Yard will not accept any liability for any loss or damage that the client may suffer under these circumstances. La Compagnie Nea'ls Yard is not responsible for any loss or damage to client or guest property – including gifts brought to the venue by guests. Data Protection Act Any information supplied to La Compagnie Nea'ls Yard is held in accordance with the Data Protection Act 1998 and may be used by La Compagnie des Vins Surnaturels to keep you informed of special offers and promotions we believe may be of interest to you. We do not disclose personal information to any other organisation outside of La Compagnie des Vins Surnaturels. External Suppliers, Delivery and Storage All external (La Compagnie Nea'ls Yard) suppliers using the venue electrics must have a current portable appliance test certificate & must issue La Compagnie Nea'ls Yard with their public liability insurance. It is highly recommended that all external suppliers visit La Compagnie Nea'ls Yard prior to the event date. Onsite storage for materials is not available at any of our venues.. All materials brought in specifically for events (corporate signs, publications, displays, goody bags etc) must be delivered to the venue on the day of the event. All deliveries must be booked in. All materials must be removed from the Venue and the Premises immediately following the event. We cannot under any circumstances guarantee the safe keeping of any materials delivered early or left on site and we are not able to arrange for collection on your behalf. External Catering No external food or drink is permitted to be brought into the restaurant and served during your event without written authorization from the restaurant/event manager. If allowed, a corkage or plating fee will be applied. Smoking Smoking is only permitted in the outdoor smoking areas. Under no circumstances are guests allowed to smoke within the venue. This includes the use of Vapes. Behaviour You and your invitees must comply with all the rules and regulations currently in operation at the Premises. We reserve the right to deny admission, or to require a person already admitted to leave the Premises, without refund or compensation, for failure to comply with any of the health and safety regulations, for unsafe, illegal or offensive behaviour, to ensure safety, security or order, or if we consider that the circumstances so require. Miscellaneous Items Written permission must be obtained from La Compagnie Nea'ls Yard before any decoration is attached to walls, floors and ceilings. Failure to comply The La Compagnie Nea'ls Yard will not be liable for failure to comply with any terms and conditions of this agreement to the extent such compliance is prevented, hindered or delayed by any cause beyond its control included but not limited to fire, storm, explosion, flood, act of God, action of any Government or Governmental Agency, shortage of materials or goods, strike or lock-out
